Visual Data Helps ‘Get Out the Vote’ for the 62nd Primetime Emmy(r) Awards

‘ Primetime Emmy(r) Awards. Visual Data – a leading provider of integrated end-to-end post-production solutions and distribution for all media outlets – created, duplicated, and assisted in the distribution of Emmy screeners for Television Academy members who volunteer to judge the nominees for the Creative Arts Emmy Awards and Primetime Emmy Awards. The Primetime Emmys are legendary in the television industry, and there is strict protocol regarding how judges get their content. Academy producers Jordana Glick-Franzheim and Cristina Colissimo returned to Visual Data to work with Tim Rollenhagen, Director of DVD and New Media, who has worked with them for many years to successfully deliver this high-demand assignment.

Secure, Emmy-branded DVD copies of content that had been entered into the competition needed to be sent to all judges within a specified time frame, in a specific manner. Keeping the entire process secure was a key concern, and Visual Data has built an end-to-end system that supports the workflow needs of the Academy. The entire process is very intricate and sensitive, and it is controlled very closely by the Academy and managed carefully by Visual Data.

The turnaround time this year was compressed from five weeks to three, and at the end of the project, Visual Data had duplicated and shipped over 41,000 DVDs. To accomplish this gargantuan task, Visual Data worked hand in hand with the Academy producers who were on-site at Visual Data and central to managing the process. Over the course of the three weeks, Visual Data ran multiple shifts per day, seven days a week, of DVD authors, graphic designers, duplication staff, and drivers.

Content was submitted to the Television Academy by content holders (including studios, production companies, and networks) and then sent to Visual Data where Academy producers would QC entries and manage the repair of any issues in interaction with the content owner. Issues were often fixed utilizing Visual Data’s broad array of post production services. Judging DVDs were then assembled by category and discipline, duplicated, and distributed. For the Sound Editing and Sound Design categories, Visual Data worked closely with Dolby Labs to make sure that the sound encoding was to specification.

The producers and team from the academy were set-up in a dedicated area of the facility and managed a rapidly changing inventory of entries and deliveries. Visual Data supported their process with ongoing data management that enabled the teams to stay on top of the massive task. When it came to the ballots, however, only Academy staff was allowed to touch them.

When I watch the Primetime Emmys, I know that we have done the very best we could do to support the show. It is definitely a few weeks of working with many fast moving parts, but it is one of my favorite times of the year.”
